01 Who we are
ai-daybook (“ai-daybook”, “we”, “us”) is a personal life-logging assistant operated from Telegram. The service is currently provided by an independent developer based in Spain (European Union), who acts as the data controller for the personal data described here.
This policy explains what data we process when you use ai-daybook, why, and the choices you have. If you do not agree with it, please do not use the service.
02 Information we collect
Information you send us
- Messages and their content — the text, photos, and voice notes you send to the bot, and the original raw content of each (we keep your original input alongside anything we derive from it).
- Logged records — the structured entries we create from your messages: meals and nutrition, activities and workouts, tasks, calendar events, reminders, purchases, belongings/inventory, and similar.
- Profile details — your name, time zone, country, and city, used to place entries on the correct day and time.
- Preferences and memory — rules and preferences you ask us to remember to personalize how the assistant responds.
Information from Telegram
- Your Telegram user and chat identifiers and basic profile fields provided by Telegram, used to recognize you and route your messages. We never receive your Telegram password.
Information from Google (optional)
- If you connect Google Calendar, we receive an OAuth token that lets us create and manage calendar events on your behalf. See Google user data.
Technical information
- Operational logs and error/diagnostic data (e.g. timestamps, request metadata, and crash reports) used to keep the service running and secure.
The web pages at ai-daybook.cc are informational and do not set advertising or tracking cookies.
03 How we use your data
- To understand your messages and create, update, and correct the entries you ask for.
- To estimate values (such as calories and macronutrients) and answer your questions about what you’ve logged.
- To schedule and deliver reminders, and to create or update calendar events you ask us to.
- To maintain, secure, debug, and improve the reliability of the service.
We do not sell your personal data, and we do not use it to serve you advertising.
04 AI processing & subprocessors
ai-daybook uses third-party AI models to interpret your messages, and infrastructure providers to run the service. We share only what is needed for each provider to perform its function, and only to operate ai-daybook for you:
- Telegram — messaging platform and delivery of your conversation.
- AI model providers (e.g. Anthropic and, via OpenRouter, other model vendors) — to interpret your messages and generate responses. Content sent for processing is used to return a result to you, not to train their public models under the applicable business/API terms.
- Google — Calendar API and OAuth, only if you connect Google Calendar.
- Open Food Facts — to look up nutrition for branded products you mention (we send the product query, not your identity).
- Hosting and monitoring (e.g. DigitalOcean for hosting and Sentry for error monitoring) — to run the service and diagnose failures.
These providers process data on our behalf under their own terms and security commitments. The specific providers may change as the service evolves; we will keep this list current.
05 Google user data
If you choose to connect Google Calendar, ai-daybook requests the minimum scope needed to manage the events it creates for you:
https://www.googleapis.com/auth/calendar.events.owned— to create, read, update, and delete the calendar events that ai-daybook creates on your behalf.
We use this access solely to provide the calendar features you request — for example, adding an appointment you mention to your calendar. You can disconnect at any time, which revokes our access and deletes the stored token.
Limited Use. ai-daybook’s use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. We do not use Google user data for advertising, we do not sell it, we do not transfer it except as necessary to provide or improve the user-facing features (or as required by law), and we do not use it to train generalized AI/ML models.
Human access to Google user data is not permitted except: with your explicit consent; where necessary for security purposes (such as investigating abuse); to comply with applicable law; or in aggregated/anonymized form for operational purposes.
06 Legal bases (GDPR)
- Performance of a contract — to provide the assistant features you ask for.
- Consent — for optional integrations such as connecting Google Calendar; you may withdraw consent at any time.
- Legitimate interests — to keep the service secure, reliable, and free from abuse.
07 Data retention
We keep your entries and conversation history for as long as your account is active, so the assistant remains useful over time. We retain corrections and change logs to preserve the history of your records. You can ask us to delete your data at any time (see Your rights); we will delete it within a reasonable period except where we must keep limited records to comply with law or resolve disputes.
08 Your rights
Under the GDPR you have the right to access, rectify, erase, restrict, and port your personal data, and to object to certain processing. You can also withdraw consent for optional integrations at any time.
To exercise any of these rights, email privacy@ai-daybook.cc. You also have the right to lodge a complaint with your local supervisory authority — in Spain, the Agencia Española de Protección de Datos (aepd.es).
09 Security
We protect your data with encryption in transit, per-user access scoping in our database, restricted credentials, and least-privilege tooling that prevents the assistant from reaching beyond your own records. No system is perfectly secure, but we work to keep your data safe and to respond quickly to any issue.
10 International transfers
Some of our providers operate outside the European Economic Area (for example, in the United States). Where data is transferred internationally, it is protected by appropriate safeguards such as the providers’ Standard Contractual Clauses or equivalent mechanisms.
11 Children
ai-daybook is not directed to children. You must be at least 16 years old (or the age of digital consent in your country) to use the service. We do not knowingly collect data from children below that age.
12 Changes to this policy
We may update this policy as the service evolves. When we make material changes, we will update the “Last updated” date above and, where appropriate, notify you in the app.
